A fit-gap analysis is the structured process of comparing a software system’s standard delivered capabilities against the organisation’s documented business requirements — systematically identifying each requirement as a fit (the system meets it out of the box or through standard configuration), a gap (the system does not meet it as delivered), or a partial fit (the system meets the requirement with modification). For each gap, the analysis produces a resolution recommendation: accept the gap and change the business process to align with the system’s standard approach; configure the system to address the gap within the supported configuration boundary; or develop a custom solution to bridge the gap where configuration is insufficient. The resolution decision for each gap is a programme cost and risk decision, not only a technical one.

Why This Matters in GCC and Egyptian Enterprise Programmes

Fit-gap analysis in GCC and Egyptian implementations carries a regional dimension that affects the outcome of gap resolution decisions. Business requirements that are specific to the Arab world business environment — Arabic-language character support in dimension members and reports, ZATCA e-invoice integration at the AP module level, multi-currency planning in environments where EGP volatility is a planning risk, Zakat computation as a parallel calculation alongside IFRS tax — may not be standard capabilities in Western-designed EPM or ERP systems. Where these requirements are identified as gaps, the resolution options — custom development, localisation modules, workaround configuration — must be evaluated with the full understanding that the localisation gap exists and has a cost. Implementations that do not explicitly include regional requirements in the fit-gap exercise discover these gaps during user acceptance testing.

What Good Looks Like

A rigorous fit-gap analysis is conducted against a complete, signed-off business requirements document — not against a generic requirements template. Each requirement is assessed by a subject matter expert with hands-on knowledge of the target system: a general consultant who knows the system by reputation produces a fit-gap that misclassifies gaps as fits and fits as gaps. For each gap, the resolution recommendation includes a cost estimate, a delivery risk assessment, and the business impact of each resolution option — so the business can make an informed decision between accepting the gap, changing the process, or investing in custom development.

What Organisations Get Wrong

The failure that most frequently converts a fit-gap gap into a go-live crisis is recording a gap as “to be resolved through configuration” without validating that the required configuration actually exists in the target system version. An implementation team under schedule pressure records a gap resolution as “configurable” based on a consultant’s recollection that a similar requirement was addressed in another implementation. The configuration does not exist in the current system version. The gap surfaces in system integration testing. At that point, the choices are custom development (expensive and time-consuming), process change (politically difficult if the business has been told the system will meet their requirement), or accepting a workaround. All three are more expensive than the correct resolution decision made during the fit-gap analysis.
